Impactiv8 uses a wide range of software, apps and digital tools, both internally as an agency and for our clients.
We pride ourselves on being at the cutting edge and using the best available tools, whether they be free or paid.
We invest a lot in software and are continually reviewing what we are using to ensure it still provides value and is the most cost effective and efficient solution. As a result, we regularly add to and update our favourite tools over time.
Below are the main platforms used by Impactiv8 and/or our clients, along with a description of what they are used for, a link to find out more information, as well as some alternatives in case the tool that we recommend isn’t quite right for you.
This started as a list of digital marketing tools, but expanded well beyond this to a list of online tools that will help improve all elements of your business, as collectively these tools help deliver a better customer experience – and that’s great marketing!
Customer Relationship Management (CRM)
Keap Pro is an all-in-one CRM, sales and marketing automation platform that you customize to consistently win business. Keap Pro allows you to keep all your lead and client information, activity, and messages organised, as well as making it easy to set-up appointments, track leads, send quotes and receive payments all from within the same system.
Keap Pro is recommended for service businesses who require email marketing, appointment bookings, quote, invoicing, payments and basic automation.
Infusionsoft by Keap is an all in one CRM and email marketing automation system. It does everything from lead generation and qualification, through to email campaigns, auto-responders, personalised communications and store-front with shopping cart and/or order forms for on-line payments. It enables automated workflow tasks with smart campaign triggers and excellent reporting so you can see what works and what doesn’t.
Infusionsoft is recommended for businesses who have a requirement for high level automation that extends beyond just email marketing, as it is a more powerful CRM solution than most email marketing platforms.
Drip is an ecommerce sales and marketing automation platform, designed for building personal and profitable relationships with your customers at scale. It works really well with platforms such as Shopify and is therefore recommended for eCommerce businesses.

LastPass remembers all your passwords across every device, so that you don’t have to. This is especially great if you need to share login details for your business or clients with team members, and is also a massive time saver tool, allowing you and your team to significantly increase productivity.
Harvest is a time tracking tool that allows you to track time spent on projects and/or clients. This is particularly useful when you have several people working on the same projects/clients, as it allows everyone to be able to see how much time has been used and/or is remaining against what has been budgeted.
File Storage & Sharing
Xero is an accounting software system for small businesses that has all the time-saving tools you need to grow your business. From importing bank transactions to sending invoice reminders, Xero automatically handles tasks so you can get your accounting done faster.
Stripe is a low fee online payment processing platform that allows you to accept credit cards, manage subscriptions, send money, and run a marketplace. It integrates with other tools, such as Xero and Keap, making it much easier to do business online.
PayPal is a safe and fast way to send money, make online payments, receive money and/or set up a merchant account. It has loads of payment options and it is used by many people to make purchases, as it is widely trusted.
Automation & Integration
Loom allows you to record your camera and screen with audio directly from your Chrome browser and share it with others, making it easy to get your message across, whether it be to train team members, give instructions or share information with clients.
Divi Builder by Elegant Themes is a complete WordPress design framework that allows you to design and customize every part of your website from the ground up. You have control over everything down to the finest detail, with loads of great templates to choose from, making building a website super easy for even the non-techy.
Tracking, Analytics & Reports
Google Tag Manager is a simple, reliable, easily integrated free tool that allows you to manage and deploy marketing tags (snippets of code or tracking pixels) on your website (or mobile app) without having to add lots of code that can have a negative impact on your website performance.
Whilst technically not software or an app, UTM codes are still worthy of mention.
A UTM code is a snippet of simple code that you can add to the end of a URL to track a source, medium, and campaign name. This enables Google Analytics to tell you where searchers came from as well as what campaign directed them to you so that you can measure the performance of individual campaigns and/or pieces of content.
Funnelytics allows you to plan your marketing funnels quickly and easily by mapping them out within a drag-n-drop canvas. You can also calculate the stats that will be required to make them profitable. Once your campaign is live, it shows real-time results as people start to move through your funnels, making it easy to determine which elements of your campaign you should scale.
Eventbrite is an all-in-one event booking system that allows you to sell tickets, manage registrations, print name badges, process event check-ins and report on sales and attendance, all within the one platform. It’s event directory also helps you promote your event and extend your reach.
Transcriptions & Captions
Rev allows you to create transcriptions and captions from video or audio files, and their turn-around times are super fast! Captions are created as SRT files that can be uploaded to Facebook and YouTube so that people can read the captions when videos are on mute. Transcripts are great for creating blog posts and other forms of content quickly, rather having to type it all out yourself.

Webinars and Video
Wave.Video allows you to create engaging videos for social media, blogs and websites with ease, using their video templates, video stock and audio library. You can also resize your videos to different video formats, include CTA’s with your logo and host your entire video funnel on Wave.video.
Canva is an online design and publishing tool which makes graphic design simple for everyone, allowing you to create unique images and animated gifs for use on social media, blog posts, presentations, posters, invitations, and much more.
ShortPixel allows you to optimise images prior to using online. This tool should be used prior to uploading images to websites or email campaigns to help decrease load times for websites and help reduce the chances of emails with images ending up in spam filters or failing to be delivered.
Facebook MESSENGER MARKETING
Feedly is a content sourcing tool that allows you to develop a personalised magazine based on your interests. You simply add your favourite websites into Feedly, swipe through your content feed, read those articles that spark your interest and then social share them straight from within the app if you like. It also integrates with other tools like Buffer, Hootsuite, Pocket and Evernote (amongst many others).
BuzzSumo allows you to find engaging content by curating the content that is getting the most shares across social media. You can filter by content type, categories and time period, as well as seeing what content is doing well on which platforms and who it has been shared by.
SOCIAL MEDIA MANAGEMENT TOOLS
AgoraPulse is an easy to use social media management tool that allows you to drive engagement and build authentic relationships on one platform. Easily switch among all your social channels and accounts from a centralised dashboard. Brand Mentions digs every corner of the internet to find all the relevant mentions about anyone or anything. You set the keywords or phrases you want to be found (e.g. your business name) and Brand Mentions alerts you when it is mentioned online.
ONLINE COURSE & MEMBERSHIP MANAGEMENT
